A Check Sheet is a reusable template that groups together Check Items.
They are managed in a three-level hierarchy: "Check File → Check Sheet → Check Item."
Each Check Sheet cannot be used on its own and must be assigned to a Check File.

For details on Check Files, see the applicable manual.

Check Sheet Settings

Publishing a Check Sheet

You can change the Release State to match your usage status.

  • Save as Draft: The Check Sheet is in a draft state while being created or adjusted, and cannot be added to a Check File.
When newly created, a Check Sheet is saved as a draft.
  • Published: The Check Sheet is ready to be added to a Check File.
A Check Sheet that is assigned to a Check File cannot be changed to "Draft."
If you want to save it as a draft, please remove the assignment from the Check File side first.
Check Sheets assigned to Check Files can not be deleted.
If you attempt to delete one, the message "Check Sheets assigned to Check Files can not be deleted." will be displayed.

Labels

  • Labels can be used to categorize and filter Check Sheets.
  • Organizing them by task type or category allows you to quickly find the sheet you need.
  • Items must be added in advance for each location via Advanced settings.
  • Label settings are not shared with other locations.

Revision history

You can view the change history of a Check Sheet.

  • You can preview past revision Comments and update timestamps in a list.
  • Revision history is a manual entry format in which users Enter message(optional) when performing a "Publish" or "Revise" operation on a Check Sheet.
  • Revision history is not automatically generated or recorded when settings are updated while in draft state or when saving as a draft.

Check Item Settings

Multiple Check Items can be registered in each Check Sheet, and input and submission rules can be specified in detail for each item.

When To Do

You can set the timing for recording a Work Record.
Items must be added in advance for each location via Advanced settings.

Cycle

You can choose from the following 4 types for each Check Item.

  • Daily: There is no interval setting, and the item is displayed every time a Work Record is entered.
  • Weekly: You can specify the day of the week and an interval of every 1 to 4 weeks.
  • Monthly: The interval can be set to every 1, 2, 3, 4, or 6 months.
You can choose from 3 patterns: specific date (1st–31st) / specific weekday (1st–4th and last) / end of month.
  • Yearly: You can specify a start date and an interval of every 1 to 5 years.

When setting a cycle other than daily, you must also specify a "Start Date" (the date on which you will first perform a Work Record in this service).
It is not possible to record work retroactively before the start date.

Reference image / Link

You can add reference images and links for each Check Item as a reference for the work.

Additional content for submission

You can set one of the following.

  • Unspecified
  • Require Image: Makes photo capture and attachment mandatory during inspection.
  • Require Number (no range specified): Makes numeric entry only mandatory.
  • Require Number (range specified): Allows you to set an OK Range and unit, and detect values outside the range.
For all numeric input options, you can specify the number of decimal places from 1 to 5 digits.
  • Associated task: Makes it mandatory to perform additional tasks associated with the main inspection.

Allow to submit with blank

  • This setting allows submission even if Check Items are left blank.
  • If an item with a cycle setting is submitted while blank, the scheduled work for that instance will revert to "Not started" and be carried over to the following day or later.
Items marked as "Skipped" will not be carried over.
  • If Daily Verification and E-mail notifications are configured, a notification email will be sent to the Daily Verification user informing them of the carryover.
Change the settings for notification emails sent from the system (Admin screen)

Limits and Restrictions

The main restrictions when creating and assigning Check Sheets are as follows.

  • Number of sheets that can be assigned to one Check File: up to 30
  • Number of items that can be set in one Check Sheet: up to 50
  • Number of Check Sheets that can be created per location: up to 1,000
