Before creating a Check File, decide on the type (recurring or as-needed) and the unit by which to organize it.
This article provides guidelines on how to make those decisions.
For the specifications of Check Files and Check Sheets, please refer to "Tell me about Check Files."
Deciding between recurring or as-needed
Inspections that repeat on set dates or days of the week should be set as recurring Check Files.
Examples: Pre-shift inspections, weekly equipment inspections
Inspections that are recorded each time a task occurs — such as for products, lots, or shipments — should be set as as-needed Check Files.
Examples: Pre-shipment inspections per lot, assembly checks per product
Monthly Verification is only available for recurring Check Files.
If you want to operate with a workflow that reviews one month of records at a time, please use a recurring Check File.
Once a Check File has been published, its type cannot be changed.
Please decide which type to use before publishing.
The unit for organizing Check Files
A Check File is the unit that workers select when recording their work.
Please create them based on the team unit that works together, such as by worker or by line.
Reuse Check Sheets for identical Check Items
When multiple pieces of equipment share the same Check Items and When To Do, create just one Check Sheet and add as many copies of it as needed within the Check File.
Each added Check Sheet can be given a display name specific to each piece of equipment.
When reviewing Check Items, you only need to edit the original Check Sheet in one place, which reduces the effort required for revisions.
Deciding on Identification Information for as-needed Check Files
Identification Information is the field that workers enter when starting a task, used to distinguish Work Records in an as-needed Check File.
Choose something that will serve as a reference when searching for records later, such as a product number or lot number.
If the values to be entered are predetermined, creating QR codes for worker input allows workers to scan them with a camera to enter the information.
You can prepare QR codes for product numbers or lot numbers in advance and retrieve them from the Creation history when needed, allowing the creation and input tasks to be handled separately.
When arranging multiple QR codes on a printed document, space them out sufficiently to avoid scanning the wrong adjacent QR code.
